OUR GOVERNING DOCUMENTS
Our governance documents are a structured system of rules, policies, processes, and relationships that directs, controls, and holds our organization accountable, ensuring alignment with its goals, obligations, and risks.
- We are registered as an incorporation with Office of Fair Trading.
- We are registered with the Australian Charities and Nonprofit Commission, as a Non-Profit organization.
The governing documents of U3A Rockhampton Inc include.

Constitution– It acts as a contract between the association and our members, guiding as to how the organisation operates. Sets out the, aims, structure, and governance processes for our non-profit organization.

Bylaws – To avoid overloading the constitution with operational details, our By-laws is for day-to-day procedures, easier to amend than the constitution and to keep up to date with current trends such as administrative procedures.

Risk Management Guidelines – A volunteer association doesn’t have duties under the WHS Act; defined as a volunteer association as a group of volunteers working together for one or more community purposes where none of the volunteers, whether alone or jointly with any other volunteers, employs any person to carry out work for the association. However, for the safe wellbeing of our members we ensure that these duties meet our Duty of Care in having a Risk Management policy in place .

Code of Conduct – Code of Conduct is a formal document that outlines the standards of behaviour, ethics, and professional conduct expected from all our members. While nonprofits are not always legally mandated to have one, they are crucial for maintaining public trust, promoting accountability, preventing misconduct, and protecting the reputation of our organization.

Grievance Procedures – Whether it be in management, volunteering or membership issues, the grievance procedure is a formal, structured framework that allows our members to raise their concerns and ensures that they are resolved fairly and consistently.

Tutors Guidelines – Our Tutor guidelines establish the framework for our Coordinators and Tutors to their responsibilities include preparing for activities, creating an engaging and safe environment for our members experiencing those activities and adhering to or ethical standards.
